Important Note: COVID Vaccination Requirement: To best protect AIEA participants from Covid-19, all conference participants must be vaccinated to attend in-person. AIEA will accept proof of vaccination for Covid-19 from any of the seven vaccines approved by the WHO: Moderna, Pfizer/BioNTech, Janssen (Johnson & Johnson), Oxford/AstraZeneca, Serum Institute of India, Sinopharm, or Sinovac.

Full registration includes the following:
- Nametag and access to the mobile app
- Access to all conference events and exhibit hall
- At least three meals (a luncheon on Monday and Tuesday, and breakfast on Tuesday)
- At least two receptions (Sunday opening reception, Monday networking reception)
- Conference registration does not include pre-conference workshops, which have an additional fee (listed in the above chart).
One-day registration only includes access to the events for that day. Please note that AIEA does not provide registration waivers for board members, government employees, students, etc.
AIEA Participant Lists
AIEA sends out lists of registered conference participants a week after each registration deadline to all registered attendees. As requested by past participants, these lists do not include contact information. All registrants who opt-in will receive a hard-copy participant directory on-site. It is against AIEA policy for any participant information to be used for mass unsolicited emails.
Refund/Cancellation Policy
Registration fees are refundable, less a $99 processing fee, up until January 21. No refund will be issued for cancellations starting January 22, 2023.
Registrations are transferable (within the same membership category) until February 3 with a $75 administrative transfer fee. Starting February 4, 2023 transfers will not be accepted.
All cancellations must be sent in writing via e-mail to the conference registrar: [email protected].
Please e-mail cancellations, if possible, and expect confirmation within two business days.
AIEA is not responsible for problems beyond our control such as weather conditions, campus conditions, travel difficulties, visa problems, health issues, etc. No refunds will be given in these situations if occurring after January 21.
Check payments or wire transfers must be received at the AIEA Secretariat by February 3, 2023. If payment has not been received by this date, the registration will be cancelled.
*Due to the COVID-19 pandemic, local governments will likely continue to enact new policies around masks, social distancing, vaccinations, and other public health initiatives. The AIEA conference will follow local, state, and federal policies that are in place at the time of the conference, as well as any additional policies enacted by the Marriott.
AIEA Participant Scam Alert
It has been brought to our attention that scam artists, fraudulent companies, and vendors not contracted by the conference have been targeting AIEA exhibitors and participants. Be careful of companies calling posing as vendors for the event. Some scams include housing, directory listings, and onsite services.
If you are contacted by any outside company you find suspicious or are unsure whether they are a legitimate authorized vendor for this event, please contact AIEA at [email protected] immediately, and if possible include any e-mail communication you received from this vendor.
Eligibility for Member Rates
- Please note that in order to be eligible for member Conference Registration pricing, your membership application must be both received and processed by the deadline for that price category.*
- Please allow up to 10 business days for AIEA to process your membership application after your payment has been received.
- AIEA highly recommends paying via credit card during conference season to facilitate faster processing and increasing the chances of receiving registration discounts.
- Payments via check or wire transfer may delay membership processing considerably, as AIEA can take up to 10 business days from receipt of payment to process memberships.*
- Delegations of five or more participants from outside the U.S. may be eligible to register for the conference at the member rate. For more information: AIEA Conference Delegation

Letters of Invitation
AIEA will provide letters of invitation upon request to registrants only in the following circumstances: • Registration is paid in full. Non-member registrants requesting an invitation letter or new members must pay via wire transfer. • Registrants must use an email address affiliated with an institute of higher education or a recognized organization related to international higher education. • Registrants that are not Senior International Officers or International Relations Officers, may be asked to provide a brief statement regarding how the strategic issues in international higher education discussed at the AIEA conference is relevant to their work. • AIEA will not send a letter of invitation to registrants after January 21, 2023.
Note on COVID-19
Please know that the Association of International Education Administrators is carefully monitoring the situation with the novel coronavirus (2019-nCoV). To date, we do not anticipate any disruptions for the conference. Knowledge and news about 2019-nCoV continue to evolve; the most up-to-date information and recommendations can be found at the Centers for Disease Control and Prevention (CDC) here. While health officials around the world are monitoring 2019-nCoV, the risk of contracting novel coronavirus in the U.S. remains extremely low. Seasonal influenza (flu) and respiratory disease activity present a more prevalent concern in the US. Participants are urged to take customary precautions to prevent the spread of any disease.
All participants will be required to show proof of vaccination before registering for the conference.
