AIEA Internship Program: 2017 Annual Conference

The AIEA internship provides meaningful, practical work and professional development opportunities at the annual conference. AIEA, the Association of International Education Administrators, is a professional organization that serves leaders in international education. The AIEA Annual Conference is an event that brings senior international officers from all over the world together for provocative, relevant and rewarding dialogue and networking.

AIEA is now accepting applications for three interns that will oversee a variety of functions.  Interns play a critical role in ensuring the conference’s success. All positions require a high level of organization and leadership skills to carry out the following key responsibilities:

  • Volunteers – Recruit volunteers from local college campuses within an hour of the conference, Train and manage a volunteer staff of 40-50 individuals, oversee staffing and logistical needs for the duration of the entire conference.    
  • Events – Assist in managing and scheduling volunteers, serve as point person on logistics for events, and escort high-level guests and speakers for the duration of the entire conference.
  • Sessions – Oversee logistics for 100+ conference sessions and workshops for the duration of the conference.
  • Technology – Work with audiovisual staff to assist and review session logistics and track equipment usage.  Work closely with conference speakers on individual technology issues related to laptops, PowerPoint presentations, and LCD projectors for the duration of the conference.

Washington Marriott Wardman Park; Washington, DC; February 18-22, 2017

LANGUAGE REQUIREMENT
English fluency required.

TIME REQUIREMENT
All interns must be able to fully commit to the following time commitments:

Prior to the Conference   
Nov. 28 through Dec. 16  One 1-hour conference call 
Jan. 4 through Feb. 17  Approximately 5 hours per week
On-Site   
Feb. 18 through Feb. 22 7am – 7pm
Post-Conference   
Feb. 27 through Mar. 10 Approximately 1 hour per week

 The AIEA Internship Program is competitive.  Eligible candidates will be interviewed by phone, Skype, or in person (when possible). Transportation and lodging expenses and arrangements will be the responsibility of the intern. 


AIEA Volunteers: 2017 Annual Conference

The AIEA volunteer program provides meaningful, practical work and professional development opportunities at the AIEA annual conference. AIEA, the Association of International Education Administrators, is a professional organization that serves leaders in international education. The AIEA Annual Conference is an event that brings senior international officers from all over the world together for provocative, relevant and rewarding dialogue and networking.

AIEA is now accepting names and contact information from volunteers interested in assisting in a variety of tactical and logistical tasks associated with hosting our annual conference. AIEA will need a volunteer staff of 50-60 people to work dedicated shifts of 2-4 hours over the conference days, February 18-22, 2017. 
 
Volunteers will be responsible for ensuring logistical and tactical tasks are implemented to make the attendee experience memorable and productive.  Summary of activities:
  • Sessions—ensure each of the rooms for each session is properly set and ready for presenters and attendees. 
    1. Audiovisual equipment is in place and working. 
    2. Sufficient number of seats for expected attendees. 
    3. Evaluation forms are ready. 
    4. Water station is set. 
    5. Correct signage outside room. 
    6. Check name badges to verify participants are registered.
  • Events—these include meals and keynote presentations on and off site.  Volunteers will be available to welcome attendees and help direct to rooms and seats, etc.
  • Keynote Presenters—ensure everything on stage is ready; sound check and audiovisual is working.  Speaker gifts under podium. 
  • Exhibit Hall—monitor badges for admissions.  Check with exhibitors to ensure they are ready for attendees. 
  • Registration Desk—assist registration team in handing out bags and materials.
 
LOCATION
Washington Marriott Wardman Park; Washington, DC; February 18-22, 2017
Volunteers are responsible for travel and/or lodging costs.
 
TIME REQUIREMENT
Volunteers will need to be available to attend one orientation session which will be held on Saturday, February 18, at 2:00 p.m. Individuals are asked to stay and help assemble registrations bags.  Volunteers will sign up for shifts of 2-4 hours which will run February 19-22.  The conference is over at 2:00 p.m. on February 22, with some volunteers needed to assist with the clean up through 5:00 p.m. 
 
BENEFITS
Upon successful completion of duties, Volunteers will receive a letter of recommendation from AIEA. Volunteers will also have limited access to conference sessions and events, networking opportunities with professionals in the field of international education. Those individuals interested in event management or hospitality are also encouraged to apply.
